Scheduling appointments in your calendar

With the Schedule appointments capability, Cleo finds a moment that fits during the call: she checks your calendar, proposes options and books directly. You decide beforehand which kinds of appointments she may make and which questions she asks.

Before you start: connect your calendar (Google) under Settings → My Tools and enable the Schedule appointments capability on your assistant. Appointments land in your primary calendar.

Setting up appointment types

An appointment type tells Cleo what can be booked. You manage them under Voice settings → Appointments & transfers → Appointment types.

Add a type
Give it a name (e.g. "Viewing"), a duration in minutes and optionally a location and description.

Define the questions
Enter, comma-separated, what Cleo should ask — for example "which address is it about, how many people are coming". The answers land in the appointment and in the captured data.

Save and test
Start a test call and ask for an appointment — you'll see it appear in your calendar right away.

How the conversation goes

Cleo asks what kind of appointment the caller wants, checks availability in your calendar and proposes concrete times. After confirmation she books the appointment and summarizes it. In the call history the call gets the outcome "booked".

Common problems

Cleo says she can't make appointments
Three things to check: is the calendar connected under My Tools, is the Schedule appointments capability enabled, and is at least one appointment type set up?
Appointments land in the wrong calendar
Cleo books in the primary calendar of the connected account. Connect the right account or change your primary calendar.
